Applied unveils Epic Conductor to automate agency work

Applied Systems, the world’s largest provider of insurance software, has introduced Epic Conductor, an AI platform embedded directly within its Applied Epic management system.

The launch marks a change in Epic’s role, from a place where agency data is simply stored to a system that actively carries out work across the insurance lifecycle. Epic Conductor handles tasks spanning policy and financial management as well as submissions and underwriting, while staying inside the security permissions and audit controls Epic already uses.

The platform targets a long-standing inefficiency in the sector. According to Applied, close to half of the labour at agencies, brokerages and carriers is still spent entering, re-entering and checking data by hand. This leads to hundreds of mistakes and billions in spending on outsourced business process providers. Epic Conductor aims to strip out this burden so firms can focus on advising customers and securing new clients.

The AI automation covers three areas of agency activity. In operations, staff can search records, documents and activities using everyday language, potentially recovering hours each day. Epic extracts policy and new business details from carrier paperwork, cutting 55 minutes from each submission. Policy checks and quote comparisons flag errors such as an incorrect limit or absent endorsement before they become problems, saving between 32 and 60 minutes per review depending on whether a single or multiple lines are involved. Certificates are prepared automatically from current policy data and held for sign-off before release.

On the financial side, Epic acts as the record for every policy-related transaction, from invoicing and receivables through to trust accounting and general ledger close. A single carrier document can produce the policy, transaction and invoice, allocated to the right branch and profit centre. Applied says extraction accuracy stands at 99% across more than 90 carriers without any manual mapping. Commission statements are collected from carrier portals automatically, reducing reconciliation time by 90%. Premium finance agreements are also created from carrier quotes and offered alongside card and ACH payment, with funds matched to the correct record to shorten the period between binding and payment.

The third area, connected trading, streamlines how agencies and carriers exchange submissions, quotes and renewals via Applied’s existing integrations. All marketed submissions appear in a single Epic view showing status, checklists and carrier quotes, cutting handling time by 60% and giving account managers more than two hours back each day. ACORD forms are completed automatically from submission files, and renewal quote requests are sent to each carrier in its preferred format, with responses returning to Epic in three hours rather than three or more days.

Applied chief product officer Lance Williams said, “Many of the AI solutions available today are features solving a narrow use case, not connecting work across the whole policy lifecycle.

“Our ambition is to apply AI to do what nobody else can: connect the work that moves from operations to finance and trading teams and out to carriers, removing the friction that stalls it to drive real business outcomes faster. That’s what Epic Conductor does: it conducts the work itself, so agencies and brokerages get the time back to serve clients and write more business.”
