Intersys, a UK-based technology, has launched a new AI in the Workplace Governance Policy Template designed to help insurers, MGAs, brokers and market service providers manage risks in relation to AI adoption.
The insurance market is increasingly integrating generative AI tools into underwriting, claims, customer engagement and internal workflows.
While these technologies can enhance efficiency and decision-making, they also introduce regulatory, operational and data-handling risks when deployed without proper oversight.
Intersys developed the template to give firms a practical and immediate framework to strengthen controls and reduce exposure.
The AI in the Workplace Governance Policy Template offers insurance organisations ready-to-implement guidance covering staff conduct, risk controls and responsible use of generative AI. It sets out mandatory training requirements, data-redaction measures, restrictions on using personal AI accounts, and governance procedures for approved tools such as ChatGPT, Claude and Microsoft Copilot. The aim is to ensure employees use AI safely while maintaining regulatory compliance.
The free-to-download template comes at a time when insurers face heightened scrutiny around data handling, model governance, GDPR compliance, fair value assessments and Consumer Duty. The framework is intended to help organisations navigate risks such as data leakage, inaccurate AI outputs, weak supply-chain controls and inadvertent disclosure of sensitive information into public AI systems.
The insurance sector carries elevated exposure due to its reliance on personal and sensitive policyholder data, interconnected operational ecosystems and strict regulatory expectations. Growing use of AI tools also raises concerns over audit trails, access-rights configuration and the possibility of AI hallucinations leading to flawed or misleading decision-making.

Inaccurate or fabricated outputs, including AI hallucinations, can easily lead to flawed decisions or misleading communications. We’re also seeing integrated tools like Microsoft Copilot surface sensitive files simply because access rights haven’t been properly configured. Too many firms are rolling out AI tools without putting the right controls in place.”
